BEIS Alumni Network Site Privacy Notice
The Department for Business, Energy & Industrial Strategy (BEIS) is committed to protecting the privacy and security of your personal information.
This notice sets out how we will use your personal data, and your rights. It is made under Articles 13 and/or 14 of the UK General Data Protection Regulation (UK GDPR).

YOUR DATA
The data
We will process the following personal data:
- Name
- Email Address/contact details
- Your Location (City)
- Image (Headshot)
- Contact Preference
- Knowledge/skills/Expertise
- Leaving date
- ·Last job role/directorate BEIS
- Information about past and current employment
- Education and qualifications
- Information about your interest
- Effective date of the data (i.e. last time refreshed)
- information on how users use the platform, using cookies and surveys/questionnaires
- Consent
Purpose
The purposes for which we are processing your personal data are:
- Create a database to capture skills, knowledge, expertise, preference and consent.
- User verification and operation of the Site
- For the prevention and detection of fraud or loss – in line with the terms and conditions
- Monitor use of the Site to identify any security threats
- For research and statistical analysis
- Contacting you regarding potential job opportunities at BEIS
- Collaborations with other ex-BEIS employees and/or users
- Contacting you if/when your experience and expertise are required by BEIS.
- Send notifications to you about potential BEIS job opportunities that fits your account profile, using your contact preference.
- If you wish to apply, direct you to the job application website;
- Keep you updated with the latest news about BEIS
We may also use your personal information:
- To become a user of the Site and in the generation of your profile;
- To contact you by email, post, SMS or other electronic means about opportunities and job alerts that you might be interested in;
- To send BEIS News and materials to you;
- To be contacted by an BEIS recruitment team, in relation to a job posting that you have expressed interest in or applied for;
- Gather feedback to improve our services;
- Respond to any feedback you send us if you’ve asked us to
- Send email alerts to you if you request them
Legal basis of processing
The legal basis for processing your personal data is:
- Consent: You consent to us doing so. This will be captured at the point of your registration to use the Site.
Recipients
Your data will be collected directly from you when you sign-up and register to use the BEIS Alumni Network Platform (the Site).
Your personal data will be shared by us (BEIS) with Enterprise Alumni Inc (data processor) to ensure all data processing is maintained. As your personal data will be stored within the Site IT infrastructure. It will also be shared with our data processor’s Microsoft and Amazon Web Services to maintain back-ups and technical support.
Retention
Your personal data will be kept for the duration of your account whilst it remains active.
Where accounts are no longer active, personal data will only be retained for as long as it is needed and necessary to fulfil the legal obligation of the Site. If no longer required to fulfil the legal obligation and purpose of the Site your personal data (electronic and paper copies) will be safely and securely destroyed, three years after the date your account was last active. You may be notified before your account/personal data is deactivated/destroyed.
Additionally, we will only retain your personal information for as long as necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, accounting, or reporting requirements.
If there is no law/legal obligation that requires us to retain your personal data, your account will be securely destroyed within 30 days after you unsubscribe from the Site.
Automated decision making
Your personal data will not be subject to automated decision making.
Your Rights
- You have the right to request information about how your personal data are processed, and to request a copy of that personal data.
- You have the right to request that any inaccuracies in your personal data are rectified without delay
- You have the right to request that any incomplete personal data are completed, including by means of a supplementary statement
- You have the right to request that your personal data are erased if there is no longer a justification for them to be processed.
- You have the right in certain circumstances (for example, where accuracy is contested) to request that the processing of your personal data is restricted.
- You have the right to object to the processing of your personal data where it is processed for direct marketing purposes
- You have the right to update/change your preference of the use and the processing of your personal data at any time.
- You have the right to withdraw consent to the processing of your personal data at any time.
- You can withdraw your consent at any time by logging-in to your account on the Site and updating your preferences. Data processed via active consent will continue to receive notifications and communications relative to the initial opt-in until we have received an opt-out request.
- You have the right to request a copy of any personal data you have provided, and for this to be provided in a structured, commonly used and machine-readable format.
International transfers
Your personal data will be processed and stored in the UK.
Where your personal data is processed by BEIS it will be stored on our IT infrastructure, and shared with our data processor’s Microsoft and Amazon Web Services. It may be transferred and stored securely outside the UK and European Economic Area. Where that is the case it will be subject to equivalent legal protection through the use of Model Contract Clauses.
Where your personal data is processed by Enterprise Alumni Inc your personal data will be processed in the European Economic Area (EEA), or by an international organisation in the United State of America (USA)
Where your personal data is processed in the EEA or outside UK, the following safeguards will be in place:
- reliance on Model Contract Clauses
- reliance on binding corporate rules
Complaints
If you consider that your personal data has been misused or mishandled, you may make a complaint to the Information Commissioner, who is an UK independent regulator. The Information Commissioner can be contacted at:
